Position Purpose: The President oversees the corporation’s activities and operations, informs the Board of Directors, and ensures that resolutions are implemented effectively. The Board of Directors authorizes the President to contract, receive, deposit, disburse, and account for the corporation’s funds; to execute in the name of the corporation all contracts and other documents authorized either generally or specifically by the Board to be executed by the Corporation, and to negotiate all material business transactions of the Corporation.
Responsibilities:
  • The President leads all Board of Directors, Executive Board (if applicable), and SAVMA Membership meetings.
Required Qualifications:
  • Active membership in SAVMA with a commitment to its values
  • Bachelor’s degree or 7+ years of senior-level (budget control with $250,000+)
  • Volunteer Engagement Professional experience.
  • 3 years of SAVMA leadership experience.
  • 1 year of SAVMA officer experience.
Preferred Qualifications:
  • Association officer experience
  • 5 years SAVMA leadership or 10 years Board or officer experience

Position Purpose: The President-Elect stands in for the President in their absence, serves on the Governance and Administration Committee, and leads the annual recruitment, nomination, and election process. This position is designed to ensure leadership continuity and develop the competencies needed for a successful transition to the role of President.
Responsibilities:
  • Stand in for the President during their absence and perform related duties as required.
  • Serve on and lead the Governance and Administration Committee.
  • Direct the annual recruitment, nomination, and election process for board and officer positions.
  • Collaborate with the President and Board on implementing strategic and operational plans.
  • Maintain familiarity with board-approved policies, resolutions, and contracts to support leadership continuity.
  • Participate actively in board meetings, committees, and strategic initiatives.
  • Prepare for succession to the President’s role through mentorship, observation, and participation in executive functions.

Position Purpose: The Secretary serves as the custodian of corporate records and ensures compliance with A.R.S. §10-11601 by maintaining permanent minutes and documentation of all meetings and official actions of the members, Board of Directors, and committees. The Secretary creates, authenticates, and safeguards corporate documents; manages and certifies proxies at general membership meetings; and receives, records, and reports official communications on behalf of the organization. Through these duties, the Secretary supports transparent, compliant, and accountable governance.
Responsibilities:
  • Record attendance, minutes, and actions at Board and General Membership meetings; solicit, file, and ensure approval/signature of all committee and Board minutes.
  • Assist the President in creating agendas by gathering committee materials and providing official meeting notices.
  • Maintain and update Corporate Books in both physical and electronic formats.
  • Update membership minutes, policies, and the organization’s annual public profiles on the SAVMA website, Candid, and Great Nonprofits.
  • Complete the Arizona Corporation Commission annual filing (due after April 15).
  • Support annual elections and transitions of officers and directors, including managing proxies and meeting documentation.
  • Receive, record, and deposit all funds from the PO Box weekly; monthly, verify deposits against the Treasurer’s reconciliation report and bank statement.
  • Send and receive official correspondence on behalf of the corporation.
  • Provide oversight and control for IT accounts and password transitions for Committee Leaders and Directors annually and as needed.

Position Purpose: The Treasurer ensures the organization’s financial integrity and sustainability by maintaining, or causing to be maintained, accurate and complete accounts of all assets, liabilities, receipts, disbursements, and other financial activities. This role safeguards funds, ensures compliance with nonprofit accounting standards, and provides clear, timely reports that support informed Board decision-making.
Responsibilities:
  • Maintain accurate accounts of the organization’s assets, liabilities, receipts, disbursements, and financial transactions.
  • Disburse funds in the organization’s name as authorized by the Board of Directors.
  • Prepare and present regular financial reports to the Board and membership, providing additional updates upon request.
  • Develop and monitor the annual operating budget in collaboration with the Board.
  • Ensure timely payment of obligations and submission of all required state and federal filings.
  • Maintain separate accounting for donor-restricted and Board-designated funds, documenting applicable restrictions.
  • Review and approve monthly bank reconciliations and oversee expense and reimbursement processes.
  • Safeguard all income and assets through appropriate internal controls and recordkeeping.
  • Annually, and as necessary, provide training to directors of the board to enable each director to fulfill their financial oversight role.
  • Coordinate annual financial tax filings and ensure an orderly transition of financial records to the incoming Treasurer.
  • Secure a performance bond if required by the Board, with the cost paid by the organization.
